🔑 Use your credentials to access the portal.

➡️ Open the main menu from the far-left column of the app.
⚙️ Click the Options tab, then select Products Management for all product setups.

Navigate to the Package Tab: Select the Package tab from the left panel under Product Management.

📒 View Existing Packages: If packages have already been created, you’ll see a list of them displayed here.

Use the Search Bar: Quickly locate a specific package by typing its name in the search bar.

🪄 Filter Packages by Status: Use the filter options to view active, inactive, or all packages based on their status.

Create a New Package: Click the New Package button located in the top-right corner of the list to start creating a new package.

Choose a clear and appealing name for the package to reflect its value and purpose. Here are some examples:

  • 🎨 Creative Explorers Package: Features arts and crafts sessions, music classes, and DIY craft kits.

Pricing Types for Packages

Select a pricing type based on the nature of the package and the needs of parents.

Weekly

Ideal For: Short-term or recurring services offered weekly, such as extracurricular activities, transportation, or meal plans.

  • A Weekly Meal Plan Package priced at $25 per week, covering nutritious lunches and snacks.

  • A Toddler Activity Bundle at $40 per week, including playtime sessions and Storytime.

📆 Monthly

Ideal For: Long-term, consistent offerings like tuition, all-inclusive care bundles, or preschool programs.

  • A Full-Day Care Package priced at $1,200 per month, providing all-day care, meals, and educational activities.

  • A Play Package Program with a general price of 450 for Program, applying equally to all children enrolled. 🤸🏽🛝🤾

Definition: Tailored pricing for specific customer groups, such as age categories, enrollment plans, or specific needs.

How to Choose 💁

  • Use General Price for simplicity and consistency across all customers.

💷 Select Applicable Taxes

Definition: Taxes configured under Product Taxes can be applied to a package to ensure compliance with financial regulations. Packages without assigned taxes will reflect only their base price, creating a clear and transparent billing structure.

  • If a package is configured with a specific tax rate, the tax is automatically calculated on the package’s base price.

  • Taxes are applied when the package is added to a billing schedule or invoice.

  • The base price is $300, and since it’s taxable, a 10% tax applies.

    If a package is configured with a specific product discount, the discount is automatically calculated based on the package’s base price, provided the discount has been included in the child’s plan.

At Sunshine Daycare, Sophia is signing up her son, Leo, for two packages. First, she picks the Summer Camp Package, a bundle filled with fun activities, meals, and transportation, priced at $300. Sunshine Daycare offers an exclusive 🎯 Early Bird Discount of 10% on the Summer Camp Package, and Sophia is thrilled to grab the deal!

Packages themselves do not have specific availability settings because they rely on the availability of the sessions and items included within the package. Here’s why:

Packages act as a grouping of multiple components (sessions, items, etc.), each of which may have its own unique availability. By depending on the availability of individual components, the package ensures alignment with the actual services offered.


2️⃣ Flexibility
Separating availability from the package level allows greater flexibility. For example:

  • A Meal Plan Package may include items like breakfast (available 7:00 AM–9:00 AM) and lunch (available 12:00 PM–2:00 PM). The package’s availability is determined by the times of these items.


Example

  • Package: Full-Day Preschool Plan

    • Includes:

      • 🌅 Morning Care Session: 7:00 AM–9:00 AM

      • 📚 Learning Session: 9:00 AM–12:00 PM

      • 🍎 Meal Plan: 12:00 PM–1:00 PM


🤾🏻‍♂️ Adding a Session to a Package

Follow these steps to add a session to a package:


📂 Under the "Sessions" tab within the package setup, click Add Session.


🔍 Use the search bar to find an existing session, or extend the list of available sessions to browse.

📝 Note:
⚙️ Only sessions configured with an hourly or per session rate will be visible and possible to add to a package.


Why Only Hourly or Per Session Rates?

🕒 Sessions with hourly or per session rates offer flexibility in scheduling and billing. These rates align with the customizable nature of packages, ensuring accurate calculations for attendance and usage.

💡 Flat or monthly rates are typically reserved for standalone plans or full-time billing setups.


✅ Click on the desired session to include it in the package.
🔢 In the Limit Box: Specify the maximum number of times the child can attend this session in a week.

💡 Tip: Leave the box empty if you want the session to have no attendance limit.

  • Example: If you input 3, the session can be scheduled up to three times in a week when added to the child’s billing plan.

🟣 Toggle Flexible Booking Time if this session should allow to select specific times when booking.

📆 The default availability of the session (as configured at the session level) will be displayed. You can:

  • Keep the default availability.

  • Modify availability specifically for this package by selecting custom days and times.

    🕰️ Set Timing:
    Choose whether to:

    • Apply a default time for all available days, or

    • Set different timings for each selected day.

➕ Click Add to include the session in the package.


🚚 Adding an Item to a Package

Follow these steps to include an item in your package:


📂 Under the "Items" tab within the package setup , click Add Item.


🔍 Use the search bar to find an existing item, or scroll through the list of available items.


🔢 Specify the Quantity: Define how many of the item will be provided per week as part of the package.

💡 Example: Add 1 art supplies kit for a Creative Bundle each week.

📆 Set Availability (Optional):
If needed, adjust the availability of the item specifically for this package.

  • Choose All Days: Apply the item’s availability uniformly across all days.

  • Select Specific Days: Customize availability by selecting specific days under the Set Availability for Each Day option.

💡 This flexibility allows the item to align perfectly with the package’s requirements while keeping its standalone settings intact. 🌟


➕ Click Add to include the item in the package.


🗂️ Save Your Package Settings

After reviewing your configurations, make sure to save your package settings to finalize the setup.


🔔 Important Note on Product Availability in Packages

The availability of each product within a package can be edited directly from the package. However, these changes are specific to the package and do not affect the product’s availability when used individually.


Why This Happens

.🛍️✧˚Standalone Products: Products included in a package (e.g., sessions, items) are existing, independent items that retain their own availability and specifications when used separately

⚙️📦Customizable Packages: Editing availability within a package allows you to tailor it to the package’s needs without altering the original product’s settings outside the package.


💡 Example

  • Standalone Product:

    • A Morning STEM Session is available Monday to Friday, 9:00 AM–11:00 AM.

  • In the Package:

    • When included in a Learning Bundle Package, you adjust its availability to Monday, Wednesday, and Friday only.

  • Result:

    • 🌟 In the Package: The session follows the custom availability (Monday, Wednesday, Friday).

    • 📅 Standalone Use: The session retains its original availability (Monday to Friday).

✏️ How to Edit a Package

Navigate to the Package List under the Product Management section.
Click the three dots (⁝) next to the package you want to edit and choose Edit from the dropdown menu.

Notification: "Note: Price changes will affect non-invoiced products only."

  • Any changes to the package price or components will only apply to upcoming invoices 📅 or future billing periods that have not yet been generated.

  • Changes will not retroactively affect already invoiced packages, ensuring past invoices remain consistent and accurate.

🔔 Important Notes: Editing Packages

Not all aspects of a package can be changed if it’s already applied within a billing schedule in child’s plan.


What You Can Edit

💲 Prices:

  • General Price: Update the standard price for the package.

  • Group Prices: Adjust pricing for specific groups

🏷️ Taxes and Discounts:

  • Add or remove applicable taxes.

  • Apply or modify discounts associated with the package.


What Cannot Be Edited

Rate Type:

  • Once a package’s rate type (e.g., weekly, monthly, or program) is set, it cannot be changed after being applied to a billing schedule.

🚫 Selecting or Deselecting Pre-set Pricing Types:

  • You cannot add or remove Pricing Groups or the General Price once they have been assigned.

  • However, the price itself can still be updated as needed.

🙅🏻 Adding , Removing or Editing Components:

  • You cannot add, remove , or modify a session or an item in the package once it’s applied.

🔤 Name of the Package:

  • The package name cannot be changed after it has been added to a billing schedule or assigned to a child’s plan, ensuring consistency across records.

Disabling the Package:

  • Once a package is linked to a billing schedule or child’s plan, it cannot be disabled unless removed from all active assignments.

Availability of Components:

  • The availability of individual components in the package cannot be adjusted as they can't be edited .


By understanding these restrictions, you can make informed decisions when configuring packages to avoid any unexpected limitations while maintaining consistency and accuracy in billing. 🌟

📄 Navigate to the Package List: Go to the Package List under Product Management.

⚙️ Locate the Package: Click the three dots (⁝) next to the package you want to delete.

🗑️ Choose Delete: From the dropdown menu, select Delete.

Confirm the Deletion: A confirmation prompt will appear asking if you’re sure you want to delete the package. Click "Yes" to proceed.


⚠️ Important Notes

🔗 Linked Billing Schedules and Products:

  • If the package is part of an active billing schedule, the system will restrict deletion to avoid errors.

  • You may need to remove the package from associated schedules before attempting to delete it.

Data Loss:

  • Deletion is irreversible. Ensure the package and all associated data are no longer needed before confirming.

🕵️ How to Review a Package

1️⃣ Locate the Package: Navigate to the Package List under Product Management.

2️⃣ Open Detailed View: Click on the package name to open its detailed view, which will display all included sessions, items, pricing, and availability settings.

3️⃣ Edit or Delete (If Needed)

  • Use the pen icon ✏️ at the top left corner to edit the package details, such as pricing or availability.

  • Use the trash bin icon 🗑️ to delete the package if it is no longer needed.

By regularly reviewing your packages, you can ensure they remain accurate and aligned with the specific needs of your center. 🌟


Can Packages Be Excluded from Billing on Closing Days?

No, packages cannot be excluded from billing on closing days. Here’s why:

📦 Packages are bundles of multiple products, such as sessions, items, or services, offered as a unified plan.
💡 Designed to provide an all-inclusive experience, packages are billed consistently, regardless of individual product availability on specific days.

📦When products are added to a package, individual products and items lose their original standalone price.

💰Since the value of a single item cannot be recalculated in relation to the overall package cost, there is no way to exclude a specific product’s charge for certain closing days. As a result, the package continues to be billed as a whole.

2️⃣ Predefined Pricing

💲 Package pricing is set at a fixed rate (e.g., weekly or monthly) to reflect the overall value of the bundle, regardless of the individual component costs.
✎ Excluding packages based on closing days would disrupt the consistency and predictability of this pricing model.

3️⃣ Independent Component Management
