You can schedule a shift or input a staff member's actual attendance from both the Daily View and the Weekly View, depending on which is more convenient.


From the Daily View:

  1. Locate the staff member on the intended day in the calendar.

  2. Click the pen icon:

    • Next to Schedule to create or edit a shift.

    • Next to Actual to record or update their attendance.


From the Weekly View:

  1. Find the staff member’s name in the staff list.

  2. Select the intended day of the week by clicking on the respective column.

  3. Click on:

    • The Scheduled Shift spot to add or edit a planned shift.

    • The Actual Attendance spot to record attendance.

  4. If there is no existing schedule or attendance recorded, the spot will highlight and display β€œ+Schedule” or β€œ+Actual”, allowing you to add the necessary details.


Steps to Create a Schedule for a Staff Member

You can create multiple schedules for a staff member in different rooms on the same day and incorporate breaks between shifts when applicable.

  • Alternatively, you can select a time from the predefined dropdown list.

3️⃣ Set the End Time

  • Choose the time when this shift will end.

4️⃣ Add Another Schedule or a Break

  • If the staff member has another shift in a different room or is expected to return to the same room after a break, click β€œ+Add” and repeat the steps to schedule it.

  • To schedule a break, select β€œBreak” from the room dropdown list (found at the end of the list).

  • Follow the same steps to set the break duration as you would for a regular shift.

5️⃣ Continue Scheduling as Needed

  • After adding a break, you can continue scheduling another shift in the same or a different room. (We assumes that a break is not the last activity of the day, so another scheduled shift is expected after it)

  • Click "Apply" to add the schedule


Adding an Actual Attendance Record for a Day

Recording a staff member’s actual attendance follows the same process as scheduling a shift, with one key difference:

  • You cannot select rooms when adding actual attendance because the staff member is expected to be in their scheduled rooms as per their shift plan.

Instead, when entering actual attendance, you only need to record the attendance pattern throughout the day without modifying the room assignments.

1️⃣ Click on the Actual Attendance Spot

  • Locate the staff member’s row on the intended day in either the Daily View or Weekly View.

  • Click on the actual attendance spot to begin entering the details.

2️⃣ Set the Attendance Pattern

  • Start Time – Record the time the staff checked in.

  • End Time – Record the time the staff checked out.

  • Breaks (if applicable) – If the staff took a break, it should be accounted for within their actual attendance duration.

The system automatically assumes that a scheduled break was taken, even if the staff member never took a break or took an unplanned break at a different time.

However, any unplanned breaks taken at another time are not considered legitimate breaks and are instead deducted from the total working hours.

1️⃣ Staff Did Not Take Their Scheduled Break

  • Scheduled Shift: 8:00 AM – 5:00 PM with a planned break from 12:00 PM – 1:00 PM (1 hour).

  • Actual Attendance: Staff worked continuously from 8:00 AM – 5:00 PM without checking out for a break.

  • How the System Adjusts:

    • The system still assumes the 12:00 PM – 1:00 PM break happened and deducts it from total worked hours.

    • The total recorded working hours = 8 hours (instead of 9 hours).


2️⃣ Staff Took an Unplanned Break at a Different Time

  • Scheduled Shift: 8:00 AM – 5:00 PM with a planned break from 12:00 PM – 1:00 PM.

  • Actual Attendance:

    • Worked 8:00 AM – 10:00 AM (Checked out).

    • Checked in again at 11:00 AM and worked until 5:00 PM.

    • Did not check out for the scheduled break at 12:00 PM.

  • How the System Adjusts:

    • The scheduled break (12:00 PM – 1:00 PM) is still deducted.

  • If a staff member is not scheduled on any day of a particular week, they will not appear in the Weekly View or Daily View for that period.

  • This means you cannot schedule them directly from the Schedules & Attendance Board for that week.

  • Instead, you will need to use the bulk scheduling functionality, which is described below.
