The separation of permissions ensures that:

Who Cannot Receive Shared Documents?
🚫 Inactive Children:
These are children who are no longer actively enrolled in the daycare (e.g., withdrawn or graduated).
Documents cannot be shared with inactive profiles because they are no longer associated with active classrooms, groups, or daycare activities.
🚫 Upcoming Children:
These are children who are enrolled but have not yet started attending daycare.
Since they are not yet part of active classrooms or groups, document sharing is restricted until their start date.
Why This Restriction Exists?
1️⃣ Relevance:
Prevents unnecessary sharing of documents with profiles that are not currently engaged in daycare activities, ensuring files are only shared with actively involved participants.
2️⃣ Privacy:
Protects sensitive information by ensuring that documents are only accessible to current and active participants.
3️⃣ Accuracy:
Ensures shared documents align with active enrollment, avoiding confusion or mismanagement of permissions.

Documents can be shared with staff who do not have an active account, except for those who have not been assigned a role or granted system access.
🧗 How to Upload and Create Folders in the Document Center
Uploading Documents on the Portal
1️⃣ Access the Document Center (On the Portal)
navigate to the Document Center from the Operational Hub in the main menu.
2️⃣ Click "Upload Document"
Select the "Upload" button located in the top-right corner of the screen.
3️⃣ Choose Files
Browse your device to select the file(s) you want to upload.
Click Open to upload the selected files into the documents section or the default directory.
Where to Find Uploaded Documents
All uploaded documents will be listed under "My Files" for easy access and management.

If you want to upload a document directly into a specific folder, first open the desired folder under "My Files".

However, there may be times when you need to revoke access to specific recipients, such as staff members, groups, or children. Follow these steps to un-share a document or folder and remove it from their access:

1️⃣ Locate the Document or Folder
Begin by navigating to the section where the document or folder is stored.
Identify the specific file or folder you want to un-share.
2️⃣ Open Sharing Options
Click on the three dots (⋮) next to the document or folder.
From the dropdown menu, select "Share" to access the sharing settings.
3️⃣ Manage Sharing Settings
In the "Shared With" section, you will see a list of all recipients who currently have access to the file or folder.
Review the list and identify the recipient(s) you want to remove.
4️⃣ Remove Recipients
Next to each recipient's name, click the "X" icon to remove their access.
Repeat this step for each person, group, or child you wish to un-share the file or folder with.
5️⃣ Save Changes
Once all unwanted recipients have been removed, click "Share" (or "Save", depending on your platform) to confirm your changes.
🔒 What Happens After Un-sharing?
The document or folder will no longer appear in the recipient's account:
For children: It will be removed from their profile.
For staff: It will no longer be visible under their "Shared With Me" section.
Key Notes
If you only want to adjust permissions (e.g., from "Edit" to "View Only"), you can update access rights without fully un-sharing the file.
Be cautious when un-sharing files with groups, as it will affect all members of that group.
📂 Where to Locate Documents and Folders Shared with Children
Any file or folder shared with a child is accessible through their personal profile in the dedicated Documents section. Follow these steps to locate and view the shared items:

Scenario: The file "Happy Kiddos Daycare Policies & Procedures" is in the "Administrative Docs" folder, and you want to move it to the 📝 Meeting Notes subfolder, which is also inside Administrative Docs.

2️⃣ Move to a Different Folder
If you want to move a folder to another location, whether to a different folder or the main directory, you need to exit its current folder first.
Locate the document or folder you want to move.
Click "Move To" from the three dots (⋮) next to it.
Use the back arrow next to the current folder name to exit the folder and navigate back to:
The main directory
Another folder within the system
Select a different folder to move the file into, or place it directly in the main directory.
📖 Example: Moving to a Folder Outside the Current Directory
Scenario:
You need to move the "Happy Kiddos Daycare Policies & Procedures" document from the "Administrative Docs" folder to another location, such as the main directory or another folder.
Steps to Move the File:
Locate the document or folder you want to move.
Click "Move To" from the three dots (⋮) next to it.
🔙 Click the Back Arrow: Navigate back to the main directory or another main folder (If current folder where the file exists resides in another folder) by clicking the back arrow next to the current folder name.
Choose a New Folder:
Once you have navigated out of the current folder, follow these steps to move your file:
Navigate to the Desired Location : From the main directory or the previous directory where the file was located, browse the list of available folders.
Select the New Folder: Click on the folder where you want to move the file.
If you want to place the file directly in the main directory, do not select a folder and just click "Move" to finalize the action.

✏️ Rename a Document or Folder
Renaming a document or folder is a straightforward process. Follow these steps:
