What is Parent Permission?

Imagine a world where daycare approvals are simple, organized, and stress-free. That’s exactly what the Parent Permission tool is all about! From field trips to special activities, this tool allows parents to give their consent with just a few clicks. No more chasing paperwork or last-minute confusion—just seamless communication that keeps everyone in the loop

You may need to get a parent's permission for their child to do certain activities in your institute. To send permission simply follow these steps.

1️⃣ Open the Menu:
Navigate to the menu on the far-left side of the portal.

2️⃣ Select "Operational Hub":
Click on the Operational Hub option in the menu.

3️⃣ Choose "Parent Permission":
Under the Operational Hub, select Parent Permission to access the tool.


🔑 Who Can Create Permissions?

Permissions can only be created by authorized roles based on their level of access within the system.

👩🏽‍💼 Company Owners

✅ Can create permission requests for all parents across all locations within the company.

🏢 Location Admins

✅ Can create permission requests only for parents at their assigned location.
✅ Permissions can be sent to all groups and classes within their designated location.

👥 Staff with Permission

🔹 Staff members with the "Manage Holidays and Create Events and Permissions for Parents and Staff" permission can:
✅ Create and manage permissions for their assigned rooms.
✅ Send permission requests for children within those rooms.


🚫 What If a Staff Member Doesn’t Have This Permission?

Cannot create or manage permissions.
Can still access the permission list for their assigned children via the child’s personal profile.


🔍 Why Is This Allowed?

  • 🛡️ Accountability – Staff members can see parent responses and act accordingly during events or activities (e.g., ensuring only children with consent participate in trips).

  • 🤝 Collaboration – While only authorized roles can create and manage permissions, visibility helps staff support event execution effectively.

Follow these steps to create a parent permission request:


Creating Permissions from the Dedicated Permission Management Tool

The Permission Management Tool provides a centralized and efficient way to create and manage permissions for children.

Head to the Permission Tools

To create a new permission request, follow these steps:

1️⃣ Give Your Request a Title

📌 Start by providing a clear and engaging title for your request. This helps parents quickly understand the purpose of the permission.

  • Permission for Field Trip to Sunshine Park. 🚍⋆。˚

  • Consent for Art Showcase Participation 🦄


2️⃣ Choose Your Audience

📌 Permissions can only be created for children.

🔹 Select a classroom to send the permission request to all children within that group.
🔹 Alternatively, choose a selective group of children as recipients for more targeted permissions.


3️⃣ Add a Proper Description

Write a detailed description explaining the purpose of the request, important details, and any additional requirements.
💡 Example:
"We are planning a fun and educational trip to Sunshine Park. Please provide your consent for your child to attend this exciting event."


4️⃣ Click "Add Permission"

Once you’ve entered the title, selected the audience, and written the description, click the Add Permission button to finalize and send your request.


👦 Creating Permission from an Individual Child’s Profile


Steps to Create Permission

1️⃣ Navigate to the Children Section

  • Open the far-left menu.

  • Click Children, then select Children List from the submenu

2️⃣ Find the Child

  • Use the search bar to locate a specific child.

  • Alternatively, browse the list and select the desired child to access their profile.

3️⃣ Go to the Child’s Profile

  • Navigate to the About section on the child’s profile.

  • Select Permissions from the menu.

4️⃣ Add a Permission Request

  • Click the purple plus (+) icon in the top-right corner.

  • Fill in the request details, including the title, description, and any necessary specifics.

  • Click Save to send the permission request directly to the parent.


📍 Where to Find Created Permissions

1️⃣ Parent Permission Tool

Under the Parent Permission tool, all created permissions are displayed. You can view:

  • The recipients of each request.

  • The replies submitted by parents.


2️⃣ Child’s Profile

Permissions are also posted on the personal profile of all children whose parents are part of the selected audience.

Navigate to the Children Section

  • Go to the far-left menu

  • Click Children, then select Children List from the submenu that pops up.

Search for the Child

  • Use the search bar to find a specific child who has received the permission request.

  • Alternatively, browse the children list and select the desired child to access their profile.

Note: You can also use the search bar located in the top-right corner of the screen to search for a specific child directly.

Go to the Child’s Profile

  • On the child’s profile, navigate to the About section.

  • Select Permissions from the menu.


View Permissions Details

Here, you’ll see a list of all permissions sent for this child.

  • Details for Each Permission

    1️⃣ Request Information:

    • Includes the title, description, and date of the request.

    2️⃣ Parent Response:

    • A highlight indicating whether the parent responded with Yes or No.

    • The time of their response is also displayed.

🍀 Important Note

  • Parent Changes:

    • Parents can withdraw their consent or change their response at any time.

    • A history of their responses will be displayed, allowing you to track updates and modifications.

🆕 New Children in the Audience 👧🏼🧒🏽

  • When a permission request is created for a specific room, group, or channel, any new child added to that audience will automatically receive the permission request.

  • This ensures all children in the updated audience are included without additional effort.


Children Removed from the Audience

  • If a child is removed from the group or channel, the permission will also be removed as it is no longer relevant to the child’s current group or class.

  • This keeps permissions accurate and up-to-date, reflecting only what applies to their current context.


Why It Matters

This dynamic system ensures:

  • Inclusivity: Automatically keeps new children in the loop.

  • Relevance: Removes outdated permissions, avoiding confusion or unnecessary notifications.

💭 Steps to Review Replies

1️⃣ Access the Parent Permission Tool:
Go to the Parent Permission tool from the Operational Hub.

2️⃣ Locate the Permission:
Find the specific permission request in the list.

3️⃣ Select an Action:
From the three dots (⁝) on the far right of the permission, choose Show Replies.


🌿 Viewing Replies

  • Replies Structure:

    • Replies are organized by class, listing all the children who have received the permission request.

  • Filter Options:
    Use the "Filter Replies" button in the far-right corner to refine the replies:

    • Show All: Displays all responses, including those who haven’t replied.

    • Yes Only: Lists children whose parents have approved the request.

    • No Only: Lists children whose parents have declined the request.

    • Didn’t Reply: Shows children whose parents haven’t responded yet, so you can follow up if needed.


How to Delete a Permission

1️⃣ Select Delete:
From the three dots (⁝) next to the permission, choose Delete.

2️⃣ Confirm Deletion:
A confirmation prompt will appear. Once confirmed:

  • The permission will be removed from the profiles of all receiving children.

  • Historical records will no longer reflect this permission.
