The Activities Hub makes assigning and tracking classwork or homework effortless! 🎯 Educators can send engaging learning tasks home, while built-in tracking ensures parents stay informed and every child stays on track. With real-time updates, you'll always know who’s completed their work and who needs a little reminder!

📌 Availability:

The Activities Hub is accessible on both the portal and the app. However, this guide will use the portal as the default reference for navigation and instructions.

📌 Any differences between the portal and app experience will be mentioned and explained accordingly.

How to Access the Activities Hub

🔹 On the Portal

Method 1:
1️⃣ Go to the Menu – Locate the main menu on the far left.
2️⃣ Select "Children" – Click on the Children tab.
3️⃣ Find "Homework" – In the pop-up subcategory, scroll down the list.
4️⃣ Click "Homework" – It is located under the Children Development section.

Method 2 (Alternative):
1️⃣ Go to the Menu – Open the main menu on the far left.
2️⃣ Select "Operations Hub" – Click on Operations Hub.
3️⃣ Scroll to Tools – Under the Tools section, find and select Homework.


🔹 On the App

1️⃣ In the App Footer, click Tools (gear icon ⚙️).
2️⃣ Under the App Section, select Activities to access the Activities Hub.

📌 Now you’re ready to assign and track activities effortlessly! 🚀


Who Can Access & Create Homework?

Access to homework (activities) depends on the user's role and assigned permissions.


🔹 Company Owner

Access:

  • Full access to all sent homework across all locations and by all users.

Creation Rights:

  • Can create homework for all locations, for all channels and children.

Deletion Rights:

  • Can delete any homework at any location.

View & Manage Responses:

  • Can view all responses from families across all locations.

  • Can manage responses on any homework post (delete or reply to comments).

  • Can mark homework as done for any child.

📌 Example: A company owner can assign a center-wide activity, track responses across multiple locations, respond to parents, and make adjustments as needed to ensure smooth homework management.


🔹 Location Admin

Access:

  • Full access to all homework sent by any user at their assigned location.

Creation Rights:

  • Can create homework only at their assigned location, for all channels and children within that location.

Deletion Rights:

  • Can delete any homework created within their assigned location, for any class and sent by any staff.

View & Manage Responses:

  • Can view all responses for any activities within their authorized locations.

  • Can manage responses on any homework post within their assigned location (delete or reply to comments).

  • Can mark homework as done for any child within their assigned location.

📌 Example: A location admin for Center A can create, track, and delete activities for all classrooms in Center A, but they cannot manage homework for Center B.


🔹 Staff

🔹 With "View Activities" Permission


Access:

  • Can view all created homework for all channels at their assigned location(s).

Creation Rights:

  • Cannot create homework.

✅ View & Manage Responses:

🔹 Can review all responses from families for activities sent within their assigned location(s).

🔹 Can comment on parent responses to provide feedback, encouragement, or additional guidance.

🔹 Can manage comments by deleting parent comments, their own staff comments, and other staff comments if needed.

📌 Example: A staff member with "View Activities" permission can track which children have completed their assignments, reply to parent responses, and manage comments, but cannot create, delete activities, or mark them as done.


🔹 With "Manage Activities" Permission


Access:

  • Has all the access granted to "View Activities" permission and additional privileges.

  • Can view all created homework for all channels at their assigned location(s).

Creation Rights:

  • Can create homework only for their assigned classroom(s) in their assigned location.

✅ View & Manage Responses:

🔹 Can review all responses for all activities within their assigned location.

🔹 Can comment on parent responses to provide feedback, encouragement, or guidance.

🔹 Can update homework status by marking it as "Done" once reviewed.

🔹 Can delete parent comments, their own comments, and other staff comments if needed on homework feedback.

Deletion Rights:

  • Can delete any activity created by any staff for all classrooms within their assigned location.

📌 Example: A teacher with "Manage Activities" permission can assign homework to their classroom, track responses, manage comments, and delete activities created by other staff within their center, but cannot assign homework to other locations.

How to Create a New Activity

Creating a new activity (homework) is quick and simple. Follow these steps to assign activities to children and track their progress.


🔹 On the Portal

1️⃣ Access the Activities/Homework Tool – Navigate to the Activities Hub or Homework tool.
2️⃣ Click "New Homework" – Located at the top right corner of the screen.


🔹 On the App

1️⃣ Go to the Activity Tool – Open the Activities Hub from the app menu.
2️⃣ Click the Orange Plus Button (➕) – Located at the bottom right corner of the screen.

📌 From this point, the setup is the same on both platforms, except:

  • On the app, you have an additional option to capture a real-time photo or video when attaching media.


🔹 Next Steps: Setting Up the Activity

Select Recipients

  • Homework can only be shared with children and families, not staff.

  • Staff members (excluding company owners and location admins) can only assign activities to children in their assigned classrooms.

  • An activity can be shared with an entire room(s) or with selected individual children.

  • If a staff member is assigned to all rooms, they can send homework to all children in the center at once by using the center-wide channel.

Add an Activity Title

Set an Activity Deadline

  • The deadline cannot be set in the past—it must be from the current date or a future date.

Upload Files & Media

  • Media (Images/Videos): Attach relevant pictures or videos for activity instructions or examples.

  • Files (Documents/PDFs): Upload worksheets, guides, or additional materials.
    📌 On the app, you can also capture photos or videos live and attach them instantly.

Finalize & Publish

  • Click "Create" to assign the activity.

  • Or click "Cancel" to discard the creation process.


📌 Now, your activity is assigned, and you can track responses from parents! 🚀


Where Are Activities Tracked & How Are They Visible to Parents/Families?

All created activities (homework) are trackable in the Activities/Homework Tool on the app, where they were originally created.


🔹 How Activities Are Tracked:

1️⃣ Access the Activity Tool – Open the Activities/Homework Tool on the app.
2️⃣ Activity List View – Newly created activities are immediately visible in a list that provides:

  • A brief description of the activity.

  • The recipients (which children/families the activity was assigned to).

  • The creator of the activity.

  • The date it was created.


    3️⃣ View Full Activity Details – To see the entire activity post, click on it, and all setup details will be fully visible.


🔹How Activities Are Visible to Parents/Families

Parents receive assigned activities in their app view on their newsfeed.

📌 Important Note: While parents see activities in their newsfeed, activities are not posted on the center’s newsfeed. Instead, they are only accessible from the Homework/Activity tool.

🔹 Why?

  • Activities are specific to individual children and families, unlike general center-wide posts.

  • Keeping activities within the Homework/Activity tool ensures they remain organized and easy to track.


How Parents Can Access & Respond to Homework

1️⃣ On the Newsfeed – Locate the post related to the assigned activity.
2️⃣ Click "Activity & Reply" – This opens the full activity post.


3️⃣ Add a Response:

  • On the Portal: Click "Add Reply" at the top right corner.

  • On the App: Click "Add Reply" below the creator’s name.


✅ Types of Responses:

🔹 Text Responses: Parents can write a comment or add a description about the child’s progress.

🔹 Multiple Children Response: If the activity was sent for multiple children, parents can submit separate responses for each child by switching between child names using the drop-down list next to the currently visible child's name.

🔹 Attach Images & Files: Parents can upload photos, videos, or documents to support their response.

🔹 App-Exclusive Feature: On the app, parents have an additional option to capture real-time images or videos and attach them directly as part of their response.

📌 This feature ensures smooth communication between parents and staff while providing clear progress tracking for each child!



🔹 Editing & Updating Responses

Parents can edit their previous response by clicking "Add Reply" again.

  • Their previously submitted comment will reappear for editing.

  • They can modify, update, or add more details before resubmitting.

Parents can also add a new comment instead of editing, especially to respond to a staff follow-up comment.

  • To do this, parents need to click "Add & View Comments" under their reply section.

  • This option is visible under the homework description screen when a parent opens the assigned activity.

  • Here, they can add a comment, upload media files, or attach documents.

📌 Why, Use & Benefit:


Why? – This feature keeps communication organized and transparent, allowing parents and staff to have a structured conversation about the child's progress.
Use? – Helps parents provide additional context, clarify misunderstandings, or respond to staff feedback on the child's work.
Benefit? – Encourages continuous engagement, ensures effective follow-ups, and helps staff track responses without needing separate messages.


How Staff Track, Reply, and Filter Responses

Staff can track parent responses, reply to them, and filter submissions to manage homework efficiently.


🔹 How to Track Responses:

1️⃣ Locate the Activity – Open the Activities/Homework Tool and find the assigned activity.
2️⃣ Click on the Activity – This opens the full details of the homework.
3️⃣ Scroll to the Replies Section – Parent responses will be listed here.


🔹 How to Reply to Parent Responses:

1️⃣ In the Replies Section, find the parent’s submission.
2️⃣ Click "Add & View Comment" – This allows staff to:

  • Provide feedback ("Great job, Sarah! Can she try finding a rectangle next? 📏")

  • Ask follow-up questions

  • Offer encouragement and support
    3️⃣ Optional: Staff can also attach images, files, or videos in their comment if needed.


🔹 How to Mark Homework as Completed:

✅ At the top of the reply post from the parent, there is an "Add Done" button that staff can select to mark the homework as completed.
✅ This ensures that each child’s progress is properly recorded.


📌 Why This Matters:
✔ Ensures clear communication between staff and families.
✔ Helps track each child’s progress efficiently.
✔ Allows for real-time feedback and engagement between parents and educators.


📌 How to Filter Responses

Filtering responses allows staff to quickly track homework completion and follow up on pending submissions.


🔹 Steps to Filter Responses:

1️⃣ Locate the Activity Record – Open the Activities/Homework Tool and find the assigned activity.
2️⃣ Click to Open the Activity – This will display all details, including responses from parents.
3️⃣ View the Response Statuses – At the top of the activity header, you will see three response categories:

📌 Understanding Response Statuses in Homework Tracking

  • "Done" (0 Done) – Number of children who completed the homework and had their response marked as done by staff.

    🕒 "Pending" (0 Pending) – Number of children who have submitted a response, but the task has not yet been marked as done by staff.
    📌 Example: A parent replied with their child’s completed activity, but staff haven’t reviewed and marked it as completed yet.

    🚫 "Didn't Reply" (2 Didn't Reply) – Number of children who haven’t responded by the due date.
    📌 Example: The parent never submitted a reply, meaning the homework remains uncompleted.


🔹 How to Use Filters Effectively:

Click on Any Status – Selecting one of the statuses will display a filtered list of children who match that category.

📌 Example:

  • Clicking "Done" will show a list of children who completed the homework.

  • Clicking "Didn't Reply" will list children who have not submitted their work.

Use the Drop-Down List to Change Views

  • No matter which filter you select, at the top of the children’s list, there is a drop-down menu that allows you to switch between statuses without going back.

  • Example: If you selected "Didn't Reply", but want to check who has completed the work, simply click the drop-down menu and select "Done" to view completed responses.

📌 Why Filtering Helps:
✔ Saves time by quickly identifying which children need follow-ups.
✔ Helps staff focus on incomplete assignments and take necessary action.
✔ Keeps homework tracking structured and efficient.


How to Delete an Activity and Comments (Homework)

🚨 Important: Activities cannot be edited once created—they can only be deleted and recreated if changes are needed.


🔹 Method 1: Delete from the Activity List

1️⃣ Locate the activity in the Activities/Homework Tool list.
2️⃣ Click the three-dot menu (⋮) at the far right of the activity record.
3️⃣ Select "Delete" to remove the activity permanently.


🔹 Method 2: Delete from the Activity Details Screen

1️⃣ Click on the activity to open it.
2️⃣ On the description screen:

  • On the portal: Click "Delete" at the far right corner.

  • On the app: Click the three-dot menu (⋮) first, then select "Delete" from the options.


    3️⃣ Confirm deletion when prompted.

📌 Important: Once deleted, the activity and all associated responses will be permanently removed and cannot be recovered.


📌 How to Delete Comments on a Homework Post

🔹 Important:

  • The main reply from a parent cannot be deleted by staff—only the parent who posted it can remove it.

  • However, comments on the main reply (including staff and parent comments) can be deleted by authorized staff.


🔹 Steps to Delete a Comment:

1️⃣ Locate the Activity – Open the Activities/Homework Tool and find the assigned activity.
2️⃣ Click to Open the Activity – This will display all details and responses.
3️⃣ Scroll to the Replies Section – Find the parent’s main reply.
4️⃣ Click "Add & View Comments" – This opens the comment section under the parent’s response.
5️⃣ Find the Comment to Delete – Scroll to the specific comment you want to remove.
6️⃣ Click the Three-Dot Menu (⋮) Next to the Comment .
7️⃣ Select "Delete" and confirm – The comment will be permanently removed.

📌 This ensures staff can manage interactions while maintaining transparency and communication with families.
