1.Room Capacity:
Once you are in the settings page of the room, scroll to the Room Capacity section.
Use the plus (+) and minus (-) icons to adjust the maximum number of children the room can hold.
2.Staff Ratio:
What is a Staff Ratio?
The staff-to-child ratio determines the number of children assigned to one staff member in a room. It helps ensure compliance with safety regulations, appropriate supervision, and quality care.
How to Set the Staff Ratio
Enter the ratio value, which defines the number of children per staff member.
The ratio is always expressed as 1 staff per X children (e.g., 1:2, 1:5).
Examples of Input Values:
Input 2: This sets a ratio of 1:2 (1 staff for every 2 children).
Input 5: This sets a ratio of 1:5 (1 staff for every 5 children).
How Staff Ratio Works
The Number Entered Refers to Children:
The value defines how many children are supervised by one staff member.
Automatic Calculation of Staff Requirements:
The system automatically calculates the required number of staff by dividing the total number of children by the ratio value.
📌 Formula:
(Total Children)÷ (Children Ratio Value) =Required Staff
Example Calculations
Scenario 1:
Children: 12
Ratio: 1:2
Staff Required: 12 ÷ 2 = 6 staff for 12 children
Scenario 2:
Children: 25
Ratio: 1:5
Staff Required: 25 ÷ 5 = 5 staff for 25 children
Save Changes
Once the staff ratio is configured, click Save at the bottom of the settings page to apply your changes.
3. Set Up Age Groups and Define Ratios
Steps to Configure Age Groups
🔹 Navigate to the Children List:
Open the far-left menu.
Select Children, then choose Children List from the submenu.
🔹 Access Age Group Settings:
At the top-right of the Children List, click the three dots and select Age Groups.
Configure Age Groups
🔹 Edit Existing Groups or Create a New Group:
Click Add a Range to define a new age group.
🔹 Set Group Details:
Name the Group: Example - "Enfants".
Start Age: Specify the starting age for the group in months.
Maximum Capacity: Define the maximum number of children allowed in the group.
🔹 Staff Ratio:
Enter the number of children per staff member.
Example: 1:5 (1 staff for every 5 children).
🔹 Save Changes:
Click Save when done to apply the settings.
Important Notes
🔹 Last Group Ends at Infinity:
The final age group always extends to infinity to ensure all remaining ages are covered.
🔹 Group Ranges Must Be Consecutive:
Age ranges must follow each other logically without gaps.
If overlapping ranges are entered for the end range, the system will automatically adjust the previous group to maintain proper continuity.
🔹 Highlighted Errors for Starting Range Conflicts:
If the starting range of a new group overlaps with an existing group, it will be highlighted in red until the conflict is resolved.
Adjust the starting value to eliminate overlap and maintain logical progression.
Example Scenario
🔹 Previous Group: 0–5 months old.
🔹 New Group: Start age entered as 6 years.
✅ If the previous group’s end range is 6 months, the system automatically adjusts it to 5 months to maintain continuity.
❌ If a conflicting start value (e.g., 6 months overlapping with another group’s range) is entered, it will be highlighted in red until corrected.
