How to Use the Staff Schedule Report Tool: Customization and Filters Explained
The Staff Schedule Report Tool is designed to help you manage and analyze your team’s schedules with ease. This article will guide you through the customization options and available filters, with practical examples and tips to help you use the tool effectively.
1. Customization Options: Tailor Your Report to Fit Your Needs
The customization options available in the tool let you adjust the report based on your preferred time period, grouping, and filters. Let’s explore them in detail.
Date Picker: Choose Your Time Period
The Date Picker lets you define the time range you want to analyze. You have two options for setting the period:
Pick a Specific Period: Select a custom start and end date, ranging from days, weeks, months, or even years, to create a personalized report period.
Predefined Date Choices: If you're looking for quick options, the tool offers predefined date ranges:
Today: Shows today’s schedule.
Current Week: Displays the schedule for the current week.
Current Month: Shows the schedule for the current month.
Last Three Months: Lets you view data from the last three months.
Example: Let’s say you want to see your team’s schedule for the current month. Instead of manually selecting each date, just choose the “Current Month” option for an instant overview of staff availability.
Grouping Options: Organize the Data the Way You Need
You can customize how the schedule data is displayed using two grouping options:
Group by Date: This organizes the schedule by individual dates, giving you a detailed view of staff availability each day.
Group by Staff: This option groups the data by staff member, so you can easily see the schedule of each individual or a team.
None: This option breaks down the data by both day and staff member, giving you a combined view.
Example: If you’re preparing for a staff meeting and need to review each employee's schedule, you might prefer grouping by staff. On the other hand, if you’re managing daily operations and need a quick glance at the schedule per day, group by date would be more useful.
Available Filters: Narrow Down Your Data
Filters are powerful tools that allow you to refine the report based on specific conditions. You can use these filters individually or in combination to get exactly the data you need.
Filter for Records Where:
There are four key filters available to show specific data:
Sick: Use this filter to find out the days when staff were absent due to illness.
Child Was Sick: This filter highlights instances where a staff had a child sick and might have affected scheduling.
Vacation: Use the Vacation filter to track days when staff members were on vacation and unavailable.
Forgotten Sign-Out: If you need to track cases where staff forgot to sign out at the end of their shift, this filter will help.
Pro Tip: If you need to monitor absences or disruptions in your daily schedule, combining the “Staff Were Sick” filter with the “Child Was Sick” filter can provide a more complete picture of what’s going on.
Filters Under Staff: Choose Specific Staff Members or Groups
To further narrow down your report, there are additional filters under the “Staff” section, located at the top right of the screen.
Select Specific Staff or Group: You can select a specific staff member or a group of staff by ticking the relevant checkboxes. You can:
Select All: Click here to choose all staff members at once.
Unselect All: Use this option to uncheck all staff, then go down the list or use the search bar to find the specific staff you want to include.
Example: Let’s say you want to generate a report for just the new staff members in your team. Instead of selecting all staff members, unselect all and search for only the new hires.
Staff Status: Filter by Active or Inactive Staff
The Staff Status filter allows you to choose between viewing schedules for:
Active Staff: Displays data for staff members who are currently working.
Inactive Staff: Filters for staff who are no longer part of the team, such as those on extended leave or no longer employed.
All Staff: This option shows schedules for both active and inactive staff members.
Example: If you’re only interested in seeing the schedule of staff who are available for work, you can choose Active Staff. On the other hand, if you're analyzing historical data and want to include those who are no longer employed, you can select Inactive Staff.
Why These Customization Options Matter
By utilizing these powerful customization options and filters, you can create reports that are laser-focused on what you need. Whether you’re tracking attendance, managing sick days, or reviewing vacation schedules, the ability to filter and group data in various ways makes the tool flexible and efficient.
2. How to Read the Schedule Report: Key Metrics and Visual Displays
Once you've generated a Staff Schedule Report, it's important to know how to interpret the information provided in the report. The report displays critical data on scheduled hours, attendance, and any variations, along with the status of staff across different categories. Here's a detailed guide on how to read and use the report effectively.
Key Metrics at the Header
At the top of the Schedule Report, you’ll see three key metrics that help you understand the staffing situation:
Scheduled Hours: This shows the total number of hours that staff were scheduled to work in your selected time frame
Actual Attendance Hours: This reflects the total number of hours that staff actually attended and worked in your selected time frame.
Variance: The difference between the scheduled hours and actual attendance hours. A positive variance means staff worked more hours than scheduled, while a negative variance indicates they worked fewer hours.
Example: If a staff members were scheduled for 40 hours total but they only attended 38 hours, the variance would show -2 hours. This can help you track attendance issues or overtime trends.
Data Display Board: How Data is Organized
The way data is displayed depends on how you’ve grouped the report. You have two main grouping options: group by date and group by staff.
Grouping by Date:
When you choose to group by date, the schedule data will be compressed by individual days. As you expand each day, you’ll see the individual staff records for that specific day. The expanded view will show their attendance status and other key details, such as if they were sick or not.
Example: If you’re looking at January 15, expanding that date will show all the staff scheduled and their status on that specific day.
Grouping by Staff:
When you choose to group by staff, the report displays individual staff members by name. Expanding each staff member’s entry will show you the detailed records for each day they worked and any impacts on their schedule, such as sickness or vacation days.
Grouping by "None"
When you choose "None" as your grouping option, the data is broken down by both day and staff member, giving you a combined view. This means:
You will see the schedule for each day alongside the corresponding details for each individual staff member.
This option is ideal if you need a comprehensive view that includes both the staff's availability and the specific days they are scheduled to work.
Using the None option allows you to access detailed information without focusing exclusively on either staff or dates. It provides a full picture of your team’s schedule across both dimensions, making it easier to track staff availability and shifts on any given day.
Status Visual Report Display
Next to each date or staff name group, you will find a visual representation of the total occurrences of the following statuses for that particular staff member or day:
Scheduled: The number of hours or days the staff was scheduled to work.
Attended: The number of hours or days the staff actually attended.
Sick: Displays if the staff member was marked as sick on a given day.
Has Child Sick: If a staff member needed to attend to a sick child, it will show here.
Vacation: Displays if the staff member was on vacation.
Forgotten Sign-Out: If a staff member forgot to sign out at the end of their shift, this will be noted here.
Example: For Staff A, you might see:
Scheduled: 3 days
Attended: 3 times
Sick: 1 occurrence (on January 15)
Vacation: 0 occurrences
Forgotten Sign-Out: 0 occurrences
This visual display makes it easy to see at a glance how many occurrences of each status are impacting your staff’s schedules.
Expand/Collapse Button
At the top of the board, you’ll find an Expand/Collapse button. This button allows you to quickly expand or collapse all the detailed records in the report.
Expand: When you click Expand, the details for all records (dates or staff members) will be revealed, showing individual attendance data and status occurrences.
Collapse: Clicking Collapse will condense the report, so you only see the basic summary of staff or dates without the expanded details.
Tip: Use the Expand/Collapse button when you need to quickly get an overview of all staff records or dates without manually expanding each one.
3. Understanding Key Information Categories in the Schedule Report
Each record in the Schedule Report is broken down into several important categories to help you compare scheduled hours with actual attendance. Here's a closer look at what each category means and how to use it effectively.
1. Scheduled: Comparing Check-in Time, Checkout Time, Break, and Duration
The Scheduled section shows the planned details for the staff member's shift. It includes:
Check-In Time: The time the staff member was scheduled to start their shift.
Checkout Time: The time the staff member was scheduled to end their shift.
Break: The amount of time the staff member was scheduled to take as a break during their shift.
Duration: The total scheduled hours worked, factoring in check-in time, checkout time, and break time.
Example: Let’s say Staff A is scheduled to work from 9:00 AM to 5:00 PM with a 1-hour lunch break. The breakdown would look like:
Check-In Time: 9:00 AM
Checkout Time: 5:00 PM
Break: 1 hour
Duration: 7 hours (8 hours total minus the 1-hour break)
This section helps you track what the schedule was for the staff member, providing a clear view of their expected working hours.
2. Actual Attendance: Comparing Check-in Time, Checkout Time, Break, and Duration
The Actual Attendance section compares the staff member’s actual clock-in and clock-out times with the schedule. It shows:
Check-In Time: The actual time the staff member checked in.
Checkout Time: The actual time the staff member checked out.
Break: The actual break time taken by the staff member.
Duration: The total actual hours worked, factoring in check-in time, checkout time, and break time.
Example: If Staff A actually checked in at 9:15 AM and checked out at 5:00 PM, with a 30-minute lunch break, the details might look like:
Check-In Time: 9:15 AM
Checkout Time: 5:00 PM
Break: 30 minutes
Duration: 7 hours and 15 minutes (7 hours and 45 minutes minus 30 minutes for the break)
This section helps you compare the actual attendance to the scheduled hours to see if the staff member adhered to their scheduled hours or if there were any deviations (like being late or leaving early).
3. Variance: The Difference Between Scheduled and Actual Attendance
The Variance category shows the difference between the scheduled hours and the actual hours worked. It helps you identify discrepancies such as lateness, early departures, or extra hours worked.
Positive Variance: If the staff member worked more hours than scheduled, it’s a positive variance (for example, overtime).
Negative Variance: If the staff member worked fewer hours than scheduled, it’s a negative variance (for example, leaving early or being late).
Example: Continuing from the previous examples:
Scheduled Duration: 7 hours
Actual Duration: 7 hours and 15 minutes
Variance: +15 minutes (This means the staff member worked 15 minutes longer than scheduled)
If Staff A was supposed to work 7 hours but only worked 6 hours and 30 minutes, the variance would be -30 minutes, indicating a shortfall in hours worked.
Why These Categories Matter
Scheduled vs. Actual Attendance: Comparing scheduled vs. actual times helps you track punctuality and adherence to the schedule. This is crucial for workforce management, particularly if you need to address issues like lateness or early departures.
Variance: The variance gives you quick insight into any discrepancies between the planned schedule and what actually occurred, so you can take action if necessary (like adjusting future schedules or addressing performance issues).
Breakdown of Hours: These details ensure you're accurately tracking both work hours and break times, which is especially useful for calculating payroll, overtime, and other attendance-related issues.
Understanding the "Include Break" Toggle in the Schedule Report
At the top right corner of the Schedule Report, you’ll find an option labeled "Include Break". This toggle gives you the flexibility to choose whether or not to include break time in the total actual working hours for each staff member. Let’s break down what this option does and how it affects your report.
Include Break: What Does It Mean?
When "Include Break" is ON: Break time is added to the total actual working hours. This means that the report will count the time taken for breaks (such as lunch) as part of the total hours worked.
When "Include Break" is OFF: Break time is excluded from the total actual working hours. The report will only show the time staff actually worked, not including any time taken for breaks.
How to Use the "Include Break" Option
This option allows you to control whether or not break times should be factored into the total hours worked by staff members.
If Break Time is Important for Your Reporting: Enable the "Include Break" option. This is useful if you're calculating total hours worked, including time off for breaks, for purposes like payroll or overtime.
If Break Time is Not Important for Your Reporting: Disable the "Include Break" option. This is helpful if you only want to count the actual time worked without breaks (for example, when calculating net hours or excluding non-working periods).
Example: "Include Break" ON vs OFF
Staff A is scheduled to work from 9:00 AM to 5:00 PM, with a 1-hour lunch break.
Actual Attendance:
Check-In Time: 9:05 AM
Check-Out Time: 5:00 PM
Lunch Break: 30 minutes
Now, depending on whether the "Include Break" option is ON or OFF, the calculation for the actual working hours will differ:
With "Include Break" ON:
If the "Include Break" option is ON, the total actual attendance hours will include the break time because the break is taken during the total attendance time.
Total Actual Attendance Time: From 9:05 AM to 5:00 PM, which is 7 hours and 55 minutes.
Including Break: The 30-minute lunch break is considered as part of the total time worked.Actual Worked Hours (with break included): Since break time is taken during the scheduled attendance period and is counted, the total is 7 hours and 55 minutes (including the break as part of the total attendance time).
With "Include Break" OFF:
If the "Include Break" option is OFF, the break time will be excluded from the total actual working hours.
Total Actual Attendance Time: From 9:05 AM to 5:00 PM, which is 7 hours and 55 minutes.
Excluding Break: Subtract the 30-minute lunch break from the total attendance time.
Actual Worked Hours (without break included): This would be 7 hours and 25 minutes (7 hours and 55 minutes minus 30 minutes for the break).
Why This Matters
The "Include Break" option plays a key role in how the total working hours are calculated and can significantly impact payroll and attendance tracking. Let’s explore how this setting is important in different contexts.
When "Include Break" is ON:
When the "Include Break" option is turned ON, break time is counted as part of the total time the employee spent at the workplace. This is useful for scenarios where:
Break Time is Paid: Some organizations choose to pay for break time (for example, paid lunch breaks or short rest periods). In this case, counting break time as part of the total attendance hours ensures that employees are compensated for their time away from work.
Overall Time at the Workplace: If you're tracking the overall time a staff member spends at the workplace, including breaks gives a more comprehensive picture of their total hours at work. This might be important for operational reports or managing the overall presence of employees on site.
Example: If a staff member is scheduled for 8 hours, including a 30-minute paid lunch break, and their actual working hours are 8 hours and 30 minutes, the system would show the full 8.5 hours worked (including the break), ensuring that the employee is paid for the break time.
When "Include Break" is OFF:
When the "Include Break" option is turned OFF, only the actual working hours are recorded, meaning break time is excluded from the total hours worked. This is essential in cases where:
Break Time is Unpaid: If your organization does not pay employees for break time (for example, lunch breaks), excluding break time from the total worked hours ensures that only the actual productive hours are counted toward payroll.
Accurate Calculation of Net Worked Hours: Excluding break time allows for more precise calculations of net hours worked, particularly when calculating overtime, shift hours, or overall productivity.
Example: If a staff member is scheduled for 8 hours but takes a 30-minute unpaid lunch break, and their actual attendance is 7 hours and 30 minutes, turning off the break inclusion ensures that only 7.5 hours are counted as worked time for payroll.
