🚶 Download and Read Child Historical Movement Records
Staff Access to Download Child Attendance & Movement Records
🔹 Staff with access to the Report Center do not need additional permissions to download Child Attendance and Movement Records.
🔹 Why?
✅ Attendance and movement tracking are essential responsibilities for all staff to ensure child safety and supervision.
✅ Since all staff are assigned to at least one classroom, they automatically have access to download reports for their assigned class.
✅ Staff with managerial roles or broader responsibilities can download reports for multiple rooms if they have been assigned access to additional classrooms.
🔹 Limitations on Report Access
🚫 While staff can download these reports, they are restricted to their assigned classrooms and children.
🚫 They cannot access attendance or movement records for children outside their assigned rooms unless they have been granted additional access by an admin or manager.
📌 Example:
A teacher assigned to Preschool Room A can download attendance and movement reports only for children in that room. If the teacher is later given access to Preschool Room B, they will then be able to download reports for both rooms.
📌 What Happens If Staff Are Assigned to a Non-Classroom (Accessory) Room?
🔹 If staff are assigned to an accessory room (e.g., Cooking Room, Management Room, or any non-classroom space where children are not officially assigned), the Children Attendance and Movement Reports will generate an empty report with no data on any children.
🔹 Why Does This Happen?
✅ Attendance reports are based on child check-ins—if no children are assigned to the room, no attendance data exists.
✅ Staff can still generate reports, but since no children are registered in those rooms, the reports will be blank.
✅ This ensures report accuracy by preventing incorrect attendance tracking for non-learning areas.
📌 Example:
A staff member assigned to the Cooking Room tries to download a Children Attendance Report. Since no children are directly assigned to that room, the report will be empty with no records.
Staff Members' Attendance: Schedules & Actual Attendance
Staff attendance tracking helps administrators and managers keep a clear record of scheduled work hours versus actual attendance. This feature ensures transparency, helps with payroll processing, and aids in staff performance tracking.
The report provides customizable details to download schedules and actual attendance separately or in a comparison format for better analysis.
📌 How to Download Staff Schedules & Attendance Reports
For a detailed explanation on how to download different staff schedules and attendance formats and how to interpret the available data, refer to our article section:

🔍 Understanding Report Orientations
📊 Horizontal Report (Columns-Based Report)
This format places all invoice details in a single row, ensuring that all key details and their respective quantities/values are structured under separate columns
Example:
Invoice ID | Child Name | Status | Room | Invoice Date | Amount | Description 1 | Quantity 1 | Description 2 | Quantity 2 | Description 3 | Quantity 3 |
INV001 | Alex Smith | Current | Room A | 01-Jan-25 | $200 | Tuition Fee | 1 | Meal Plan | 1 | Extra Activity | 2 |
👉 Best for: Quick summaries where each invoice contains unique values for each information category, allowing for an easy overview without duplicate records.
💡 Tip: Use this format if you need a high-level overview while also tracking quantities and values for each charge within the same row.
📊 Vertical Report (Rows-Based Report)
This format records each invoice transaction in multiple rows if it contains multiple descriptions or data points with multiple values.
Example:
Invoice ID | Child Name | Status | Room | Invoice Date | Amount | Description | Quantity |
INV001 | Alex Smith | Current | Room A | 01-Jan-25 | $100 | Tuition Fee | 1 |
INV001 | Alex Smith | Current | Room A | 01-Jan-25 | $50 | Meal Plan | 1 |
INV001 | Alex Smith | Current | Room A | 01-Jan-25 | $50 | Extra Activity | 2 |
👉 Best for: Detailed breakdowns of each invoice transaction, especially when an invoice includes multiple entries for the same category (e.g., repeated activity charges, extended hours, or additional services).
This format is ideal for analyzing invoices with multiple line items, discounts, or subsidies within a single invoice transaction
💡 Pro Tip:
Choose Horizontal Format if you need a quick summary of invoices, where each invoice is listed in a single row with unique values for each category.
Choose Vertical Format if you need a detailed breakdown, especially when invoices contain multiple charges, repeated services, or subsidies within the same billing period.

🔐 Permissions for Accessing & Downloading Children’s Information and Waitlist Reports
Permissions determine which staff members can view, manage, and download reports related to children’s basic and sensitive information, vaccination records, and waitlist entries.
📌 Access to Children’s Basic Information (Statuses & Allergies)
✅ Permission Required: "View Children Basic Information"
Grants access to children’s general details, including statuses and allergies.
Required for accessing sensitive information—having only sensitive information access without this permission will not grant access to any children’s information.
📌 Access to Children’s Sensitive Information (Vaccinations Report)
✅ Permission Required: "View Children Sensitive Information"
Allows staff to view and download the Vaccinations Report.
Does not require managing sensitive information—viewing access is sufficient.
If a staff member has "Manage Children Sensitive Information", they automatically gain viewing access and can download the Vaccinations Report.
🚨 Important Note:
To access sensitive information, staff must also have permission to view basic information.
Having "View Children Sensitive Information" alone does not grant access to either basic or sensitive data.
📌 Access to the Waitlist Report
✅ Permission Required: "View Waitlist"
Allows staff to download the Waitlist Entries Report.
No additional permissions (such as access to children’s basic or sensitive information) are required.
✅ "Manage Waitlist" Permission:
Grants the ability to view and manage waitlist entries.
Automatically includes the same access as "View Waitlist" plus additional administrative capabilities.
🚨 Important Note:
Staff do not need access to children’s basic or sensitive information to download the Waitlist Entries Report.
The Waitlist Report has a standalone permission, meaning "View Waitlist" is the only requirement to download waitlist entries report
💡 Pro Tip:
For Vaccinations Report Access: Ensure staff have both "View Children Basic Information" and "View Children Sensitive Information".
For Waitlist Report Access: Staff only need "View Waitlist", making it independent of other permissions.
